GenAI in Action: How HOAs and COAs Are Using AI Today – and How They Want to Use AI in the Future

The rise of Generative AI (GenAI) is reshaping community association management, providing powerful tools that streamline operations, improve homeowner experiences, and enhance financial oversight. But as with any transformative technology, adoption and usage vary, and not all solutions are created equal.

In a soon-to-be-released report, we surveyed homeowners and Board Members who currently have GenAI in their HOA and COA management software to assess how often they use various AI-powered features. We also asked them questions about ways in which GenAI can improve their financial health and community engagement, and what solutions they would like to see offered through their management company in the future. In this article, we give you a preview into their feedback so that you can begin thinking about your evaluation of GenAI use cases.

Where Is GenAI Being Used Most in HOAs and COAs?

Our survey covered key GenAI use cases, including:

      • CC&R Regulations Assistance: AI answering homeowner questions about community rules

      • Amenities Booking: AI checking and reserving clubhouse, gym, or pool access

      • Payment Processing: AI providing account balances and payment reminders

      • Work Order Management: AI helping track and update maintenance requests

      • Violations Management: AI explaining violation notices and next steps
      • Architectural Requests (ACC Management): AI tracking and updating architectural modifications

    What We Learned:

        • Most Used AI Features: Amenities booking and payment management led the way as the most frequently used AI-powered features. Homeowners and Boards found AI especially helpful in handling common inquiries quickly and efficiently.

        • Potential Security Concerns: Twenty-nine percent of homeowners reported never using AI for payments, suggesting ongoing trust issues with AI managing financial data.

        • Room for Knowledge: Some respondents noted that they did not have the functionality for AI for tasks like managing violations or processing architectural requests – however, it is likely that their solution absolutely can support these needs, based on the technology offered to their communities. This underscores the need for broader adoption and better communication around available AI functionalities.

       

      What HOA and COA Boards Want Next from AI

      Looking beyond current usage, we asked HOA and COA Boards which future AI capabilities would be most valuable for community management.

       

      Top AI Features Boards Want:

        • Managing Delinquent Accounts and Collections Automation: AI-driven reminders and legal compliance tools

        • Financial Health and Budgeting Assistance: AI-generated financial reports and invoice tracking

        • Reserve Funding Insights: AI analyzing reserve funds and suggesting funding improvements

        • Resale Document Automation: AI streamlining time-consuming resale paperwork

       

      Lower-Priority AI Features:

        • Project Planning and Management: Considered useful but less urgent than financial and compliance tools

        • Advanced Analytics and Reporting: Valued by some, but not as essential as automation for day-to-day tasks

      The trend is clear. Boards prioritize AI tools that handle complex tasks that often require education on legislative rules and regulations. They are less concerned with tasks that can be managed without significant HOA/COA knowledge. By prioritizing GenAI investments for complex Board needs, management companies will create a competitive edge for their clients and prospective clients. What’s more, providing tools that alleviate Boards from HOA/COA education will likely improve new Board Member recruitment.
